Data we receive from Transact no longer hold any client information, such as name, address or contact details.  

This makes importing data into Fastrak difficult, as we have no client information to add to the policies we receive from them.  

Depending upon how we obtain the data via Transact, you may find one of these 2 scenarios:


Back Office 


If you obtain the data from Transact via a back office link in Fastrak, such as IO, AO etc... then Fastrak may use the client information that is on the back office system to populate this area within Fastrak (Depending upon configuration).  We would recommend ensuring the back office data for these accounts / policies to be accurate so Fastrak can try to obtain the data from this area.


Direct 


If the data is obtained directly from Transact, as their is no link between this data feed and any other set of client information, Fastrak will not know what the client is, as we are only provided a reference number for the client / account.


On occasions if we have Transact policies prior to Transact changing what data we receive, then Fastrak will try to link the policies with this client information.


If it is not possible to locate any client information, then we will populate both the account and client name in Fastrak with 'Unknown Client' followed by the policy number we receive from Transact, within brackets, an example being:


Unknown Client (123456789)



What can be done


If you were to generate reports with the client name or account name, beginning with 'Unknown Client', this would not look very professional for a client and would be very confusing.  For this reason we would recommend changing the client and account name to one that can be used in a report, which can be done by performing the following:


Step 1. Select the Clients Dashboard and perform a search for 'unknown' on the surname field (This will list all unknown clients):

 

Please note: When searching from then Policy Dashboard, will show a very similar screen but allows you to search via a policy, rather than a client.

 

 

Step 2. You need to click on the client from this list, the client you wish to change. This will then open the dashboard for the account, the client is linked to:

Step 3. Navigate to the Account Summary section on the client dashboard. Double-click the account name within the Account Summary section, delete this account name, and add the client account details, then select Enter.

Step 4. Finally, search for the unknown client again via the client’s dashboard and select the pencil icon located on the right, you may need to use the scrollbars to move the area to the right to view the icon.

 

Enter the correct client personal details into this section and select save.
