The two tabs within the Setup area of Fastrak that you will need access to are –
· Client Logins
· Client Advisers
Once you have the necessary permissions, go to the “Client Advisers” tab on the left-hand side of the screen.
You need to access this area as there is functionality within the Client Portal allowing your Clients to email their Adviser. This can only be used once the correct Adviser is associated with the correct Client. Assigning your Clients to their Advisers will also Save back into the Client record which may be a required field for some of your Report Templates.
You will be presented with the following which shows all of your Advisers’ names at the top and 2 empty windows for “Selected Adviser’s Clients” and “Unassigned Clients” –
Once you select an Adviser name, by single-clicking on it, the two windows will fill with your Clients names –
To assign your Clients to their Advisers it is simply a case of dragging and dropping them, working your way down the list. If you are searching for a particular client you can use Ctrl-F and search in that way.
Care needs to be taken with the large, blue arrows in the middle of the screen as hitting these will Assign or Unassign all Clients to and from whichever Adviser is currently highlighted.
This is find if you only have 1 Adviser as it is a quick way to allocate all Clients to that Adviser but it is very annoying if you have spent a significant time assigning Clients to an Adviser only to undo all of this hard work.
Once you have assigned the Client(s) that you need to the next step is to access the “Client Logins” tab where you will be presented with the following which shows the “Registered Clients” and “Unregistered Clients” –
Registering your Clients is straightforward, simply a case of ensuring that there is a tick in the Add column next to each Client that you want to register. You can register multiple clients by working your way down the list of “Unregistered Clients”.
If you would like to see what a Client will view you can use the “preview portal” option.
Fastrak gives you the flexibility to allow your Clients to have their own login details even if they share an email address. Simply change the entry in the “Username” column.
The Master option, when ticked, allows a Registered Client to view the following policies –
· their own Wrappers
· Joint Wrappers
· the Wrappers belonging to any other Clients within the same Account
If this is not selected the Client will still be able to view any Joint Wrappers in addition to their own policies.
Once you are happy with the “Username”, “Email” and “Master” options and the “Add” box has been ticked you can then select the “Submit” button. This will automatically send emails to all the Clients that you have selected.
The default wording for the email which is sent to the Client is this –
