Creating New Model Portfolios
You can access the Model Portfolio area via the Setup area of Fastrak, if you do not have Setup access, please ask the person who manages Fastrak in your firm to arrange this for you. If no Model Portfolios have been created, you will see a screen like this –
The most straight-forward way to create a Model Portfolio is via Excel. Click on the “export xls” link –
This will open an Excel Spreadsheet with just some headings –
You need to supply data for each of these in relation to your Model Portfolio. The Fastrak Model Portfolio structure allows for you to have numerous Risk Profile versions, so it is unlikely that you will need more than one Model in our definition.
To run through the headings –
Platform –
· this should be set to a value of All
· if you have integrations with Platforms such as Transact, Nucleus etc. where you have specific Models due to fund availability you need to create a separate Model for these by adding their Name into Column B.
Model Portfolio –
· you need to be very careful with this column
· assuming you just have one Model Portfolio you should set this with a narrative using your organisation’s name, e.g. – Argentum Model Portfolio
· if you have more than one narrative in this column it will create a new Model Portfolio so the only time you should change the narrative is when you have a specific set of Portfolios, e.g. – Argentum Ethical Model Portfolio
Risk Profile –
· the content in this column should reflect your Risk Profiles Titles from the Setup/Risk Profiles area of the system –
Fund Name –
· in this column you need to record the name of the fund in your Model
· do not worry about matching the name exactly with that in the FE records as Fastrak works using the CitiCodes to import the Model
Fund Code Type –
· this should ideally be set using CitiCode as a value as these are the preferred fund codes for Fastrak and because CitiCodes are the only unique fund codes. If you use ISIN Codes, for example, you may find that you import a fund in the wrong currency
Fund Code –
· in this column record the correct fund code for the fund which is in your Model Portfolio
· you can use the Funds Tab within Fastrak to locate the correct CitiCode by using the search facility –
Share of Portfolio –
· in this column you simply record the percentage of each fund within each variation of the Model Portfolio.
· these must add up exactly to 100% so please be careful, especially if you are not using complete percentages, e.g 2.75%
If you have Cash in your Model Portfolios this needs to be entered using the following CitiCode - CGBP
Once you have completed your first Risk profile version it should look something like this –
Once you are happy with the content, save the Spreadsheet in a central location, ensuring that you retain the ‘Save as type:’ as -
To import the Model into Fastrak, click on the “import xls” link and point the system to the location of the saved Spreadsheet.
If the Spreadsheet has been completed correctly the Model will appear within the system. If there are any errors these will be flagged onscreen. For example, if your percentages do not add up to 100% for each of the variations –
Once any errors are rectified you can import once again.
You may find that when you import your Model it will look like this on screen -
There is a way to lay your Sector Model over this so that you can view the funds within the Sectors that your organisation has set. Simply set the “Sector Model” dropdown to match your Sector Model. You will notice that you can also set this to FE Sectors if you prefer.
Once you have set “Model Portfolio”, “Platform / provider” and “Sector Model” to your preferred choice tick the “Set as default” option and your screen should change to something like the following -
Updating Your Model Portfolios
Updating your Model Portfolios is very simple. Again, just use the “export xls” option and a Spreadsheet filled with your data will be available.
Before you make any changes to this we recommend that you save and date the exported Spreadsheet in case you need to reinstate this.
Simply update the data within the Spreadsheet and once you are happy with this save the Spreadsheet with a slightly different name, e.g. add Revised to the end of the name.
When you are updating your Models within the Spreadsheet it is NOT advised that you add a new model, adding in the date that this is in effect from. This will create another set of Models and, if left unchecked, will lead to a very cumbersome and unwieldy set of Models.
We recommend that you retain a set of previous Models in Excel, saved somewhere centrally but Fastrak is not the place to do this. The system is designed to reflect the current Models that you are using and to potentially rebalance against these. You will not want to rebalance a Client’s Portfolio against an old Model.
Once you are happy to proceed just use the “import xls” option and your Model Portfolios should reflect the new data.
